Nicolaus Copernicus University - privacy policy

The Nicolaus Copernicus University in Toruń ("NCU") attaches particular importance to respecting the privacy of users of the Nicolaus Copernicus University Repository website in Toruń, hereinafter referred to as the "Repository". In connection with the above, NCU implements the following Privacy Policy and encourages each user of the Repository to familiarize themselves with it:

1. By using the Repository, the user accepts this Privacy Policy.

2. Personal data in the Repository may be collected through the following actions:

  • information provided in forms placed in the Repository
  • information collected automatically when using the Repository,
    • i.e.: information saved automatically in server and Repository logs, e.g. IP address, page request sent by the user, date and time of the request, browser type, browser language, device data, operating system type,
    • "cookies" files - small text files sent by the Repository to the device of the user visiting the Repository (e.g. computer, smartphone).

3. Information collected automatically is used to achieve the following purposes:

  • server and Repository administration,
  • ensuring security and protection of data and Repository,
  • ensuring provision of specific services to the user,
  • adapting the Repository to the needs of users,
  • creating statistics on the viewing of Repository subpages,
  • maintaining the user's session (after logging in), thanks to which the user does not have to re-enter the Login and Password on each Repository subpage.

4. "Cookies" are used to achieve the following purposes: ensuring the correct operation of Repository websites in the user's browser, making it easier for the user to use the Repository and adapt it to the user's needs, remembering the user's individual settings and preferences, creating Repository statistics that allow learning about user expectations and developing the Repository so as to make it easier to reach the most frequently searched information (e.g. by analyzing search engine queries).

5. Internet browsers usually allow "cookies" to be stored on the user's device by default.

6. The User has the option of configuring their own web browser to fully or partially disable the storage of "cookies" on the device. Disabling the storage of "cookies" may cause some functions of the Repository to not function properly.

How to block "cookies":

The User may decide to save or not save "cookies" in the browser settings.

  • in Firefox: Options > Privacy
  • in Chrome: Settings > Advanced Settings > Privacy > Content Settings
  • in Internet Explorer: Tools > Internet Options > Privacy (allows you to select different levels of protection) > Advanced
  • in Opera: Preferences > Advanced > Cookies ("cookies")

In each browser, the "cookies" settings are set separately.

7. NCU is not responsible for the privacy policies of external entities, including websites to which it posts links. The User should familiarize themselves with the rules applicable to these entities.

8. NCU makes every effort to protect the Repository and the data processed on it, including against unauthorized access by third parties. For this purpose, NCU uses physical security measures, security systems securing access to servers and the Repository, and cryptographic solutions. Personal data is made available only to those employees and entities that need it to perform their tasks and it is processed only for the purposes described in this Privacy Policy.

9. NCU is the administrator of data processed in connection with the use of the Repository, excluding data collected by external entities referred to in points 8 and 9.

10. When processing data, NCU complies with the provisions on the protection of personal data, including the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (the so-called GDPR).

11. Personal data of users collected for the purposes described in points 3 and 4 of this Privacy Policy are processed on the basis of Article 6, paragraph 1, letter f of the GDPR and will be processed for the period necessary to achieve a given purpose.

12. Personal data are transferred to entities processing data on behalf of the data controller in connection with the provision of services to NCU.

13. The User has the right to request from the controller of personal data:

  • access to their personal data,
  • rectification,
  • restriction of their processing,
  • transfer of data to another controller,
  • filing an objection.

14. The User also has the right to lodge a complaint with the President of the Office for Personal Data Protection if they consider that the processing of their personal data violates the provisions of the GDPR.
